Position Description: Oakland County Democratic Party Director of Operations

Status: Full-time position, on-site, at 40 hours/week

Salary and Compensation: $57,000 + medical benefits 

Structure: Reports to the Oakland County Democratic Party Chair

Term: Specified by union contract

The Director of Operations is responsible for coordinating the activities and functions of the OCDP office on a daily basis. The ideal candidate must be self-motivated and possess strong organizational skills and knowledge of the political process. 

Primary Responsibilities

Oversee and streamline efficient day-to-day office operations

Manage the OCDP office to ensure that it is open during business hours and accessible to all party members.

Provide support services for OCDP Officers and Electeds at the direction of the Chair.

Perform administrative activities such as collecting and distributing mail, maintaining financial systems and office technologies

Work with the Chair to maintain policies and procedures to ensure seamless transitions through leadership changes. 

Ensure all relevant documents and forms are filed and processed on time and accurately.

Monitor office email and voicemail, return calls and forward messages, accordingly, including information relating to OCDP’s elections.

Act as the liaison between the OCDP and County Clerk’s office.

Act as liaison between Chair and Elected Officials.

Utilize NGP to maintain current, accurate records of members. 

Utilize ActBlue to track donations and memberships.

Pull reports from NGP to showcase membership levels and contributions.

Communication

Develop and update contact lists for elected officials, partner organizations, Officers, Executive Committee members and committee chairs and members, etc.

Approve Communications Committee social media content. 

Oversee and develop emails, website, and app edits. 

Work with communications team and officers to develop target OCDP political messaging.

Responsible for review of communications such as press releases, media relations and special announcements.

Meetings and Events

Organize and assist in planning OCDP meetings including the Officer’s Committee, Executive Committee, Audit Committee, and fundraising events.

Prepares meeting materials for all Officer and Executive Committee meetings  

Coordinate with Committee Chairs to ensure they are hosting regular meetings and conducting business.

Support the execution of fundraising plans and fundraising events alongside the Chair.

Provide administrative support at the request of the Fundraising Subcommittee Chair.

Campaigns

Work with the Chair to implement the political organizing plan.

Communicate with campaigns to provide office space and supplies. 

Actively research tabling events for OCDP to show presence in the community and distribute merchandise (“On the Road”).

Assist in coordinating and supporting campaigns for county offices including communication with the MDP and local clubs.

Maintain an active list of candidates interested in an OCDP endorsement and guide them through the process.

Update website with information on OCDP activities and endorsed candidates. 

Maintain an accurate list of Executive Committee Members and precinct delegates.

Provides support to GOTV campaigns.

Other Related Duties and Responsibilities:

Answer office phones and emails

Retrieve voicemail messages and return phone calls

Respond to Inquiries

Duplicates and prepares documents for distribution to Officers and Executive Committee

Update OCDP Calendar daily with upcoming events

Monitor office supplies, inventory and place orders  

Compile notes from committee chairs to include in report to OCDP Officers

Email correspondence and communication to club chairs

Pick-up reports and vouchers monthly 

Prepare and file all financial forms required for federal and state submission

Deposit ACTBLUE Checks (make bank deposits)

Import voucher info to NGP

Enter voucher information into Google doc monthly or as needed.

Update all relevant lists and spreadsheets

Management of social media accounts, Twitter, Facebook, Instagram, etc.

Other operational duties as assigned by the Chair

Qualifications & Skills

Excellent verbal and written communication skills

Strong administrative skills

Advanced knowledge of software applications

Management of social media, Twitter, Facebook, Instagram, etc.

Proficient with Microsoft office, Excel, PowerPoint, and office equipment

Working knowledge of NGP, VAN, ActBlue

Experience with planning and executing meetings and events

Prior experience with political campaigns or worked in elected official offices

Must possess strong organizational skills 

Ability to work efficiently with minimal supervision

Ability to manage multiple tasks simultaneously and prioritize work to meet deadlines.
